LVMH Perfumes & Cosmetics is seeking an Accounts Payable Assistant in Hersham on a full-time, hybrid basis for a five-month fixed-term contract until March 2027. The role covers invoice processing and payments, supplier database maintenance, expense claims, store recharges and agency invoices.
Role & Responsibilities
- Maintain and process accounts payable invoices for LVMH Perfumes & Cosmetics companies.
- Log invoices in SAP and distribute them for authorisation where required.
- Maintain tracking documents for parked invoices and debit balances.
- Follow up on distributed invoices until they are returned for processing.
- Assist with invoice coding where necessary.
- Process authorised invoices for payment.
- Match purchase-order invoices against goods receipts in the invoice verification system and resolve outstanding purchase-order queries.
- Pay purchase invoices promptly through BACS.
- Clear direct debit payments in SAP.
- Improve the purchase ledger system to support more efficient use of SAP.
- Assist with other purchase ledgers.
- Run reports for DPOs and KPIs.
- Maintain the supplier database, including creating, amending and classifying records, and audit the database.
- Act as a supplier contact point, responding to and resolving queries.
- Process expense claims from Beauty Consultants and other staff across brands, checking VAT treatment of receipts, claim accuracy and compliance with LVMH Perfumes & Cosmetics travel and expense procedures.
- Post expenses to employee vendor accounts in SAP.
- Process payments to employee bank accounts via BACS, with payment runs twice per month for each company.
- Post vendor payments in SAP using the automatic payment program, and create, print and send remittance advice notes to employees.
- Process monthly staff recharges to stores by creating and posting invoices in SAP.
- Manage Beauty Consultant agency invoices.
- Complete a specific ledger and process expenses.
