Christie's is hiring an Auction Sales Coordinator for its Islamic & Indian Art, Rugs & Carpets department within the Classic Art Group, coordinating auctions and private sales from consignment through post-sale. The role supports sales operations, compliance, client liaison, shipping, cataloguing and marketing, and is a fixed-term contract.
Role & Responsibilities
- Project-manage sales, coordinating auction and private-sale consignments and property-related activities with Legal, Business Support Group, Client Accounting, Art Transport, Post-Sale, Private Sale Service Centre and other relevant support teams.
- Manage the end-to-end consignment process, including drafting seller agreements, creating stock orders and completing compliance documentation such as Cultural Property and Provenance certifications.
- Oversee sale catalogue preparation with Specialists and Cataloguers, ensuring information is accurate and deadlines are met.
- Balance auction and private-sale deadlines and keep the wider team on schedule.
- Oversee shipping arrangements, including client and business approvals, export licences and scheduling.
- Track property status in internal systems and resolve open issues or missing items.
- Coordinate property movements, including transfers, temporary releases and hand carries.
- Manage client charges and ensure accurate reporting in internal systems.
- Prepare clear handovers and documentation for the Post-Sale Service team.
- Manage catalogue production, liaising with cataloguing, photography and production teams.
- Support delivery of seller marketing commitments.
- Coordinate operational aspects of auction exhibitions and private-sale viewings.
- Manage reserve amendments and issue pre-sale documentation to clients.
- Support sale activities, including client viewings, condition reports and registration of bidding requests.
- Oversee sale interest and manage telephone bidding.
- Lead weekly auction and private-sale pipeline meetings with stakeholders.
- Follow up with clients to obtain missing consignment information, including KYC, Cultural Property documentation such as PCIO/PCCO, and contracts.
- Maintain and review Sale Runners, following up on outstanding property, delivery dates and compliance paperwork such as Art Loss Register certificates.
- Consign Private Sale Seller Agreements and invoice them on the same day.
- Resolve historic auction inventory issues, including property damage and stock creation, liaising with shippers and restorers.
- Liaise with Operations, Photography and the Production Studio to keep catalogue deadlines on track.
- Prepare shipping instructions and coordinate with external shipping partners.
- Troubleshoot logistical and client-related issues.
- Support Specialists during viewings and pre-sale activities.
- Prepare post-sale handover notes and actions for relevant teams.
- Coordinate daily communications across multiple teams to ensure sale readiness.
Qualifications
- Good understanding of compliance documentation and Cultural Property requirements.
- At least 3 years of related administrative and/or project management experience.
- Strong client service skills and clear written and verbal communication.
- Excellent project management, time management and multitasking abilities.
- High attention to detail, with strong follow-up and organisational skills.
- Creative problem-solving and confidence taking initiative.
- Ability to work collaboratively across locations and teams.
- Ability to work independently when required.
- Strong working knowledge of JDE, COS and CANVAS.
- Proficiency in Excel and Outlook.
